The checklist includes key steps and tasks you can do to develop your agenda and use this document to manage the course of your workshop. It can be used as an additional guide for meeting documentation.

  1. Agenda Elements.
    • Use 1 sentence (5-6 words) to describe the purpose of your workshop so everyone could read it and understand the reason why the workshop is arranged.
    • Set date & time and define duration for your meeting.
    • Add location where the workshop will be arranged.
    • List key topics for discussion during the meeting.
    • Set an expected time for each topic.
    • List names of participants invited and actually visited the meeting.
    • Make a list of decisions approved and rejected.
    • Develop a list of actions approved for implementation. 
  2. Distribution.
    • Choose which way of distribution (email, regular mail, by hand) to use to share your agenda with invited participants.
    • Make a mailing list that includes names and contact information of invited participants.
    • Develop an invitation letter and attach a copy of the agenda to this letter.
    • Be polite and formal when inquiring every participant in your invitation letter.
    • Drop a line about the purpose of your letter and the agenda attached.
    • Avoid using too long sentences or expressions in the body of your letter.
    • Request for confirmation of receipt so you will know whether targeted people have received your letter. 
  3. Course.
    • Use your agenda as the primary source of information on managing the course of your workshop.
    • Keep the document handy during the meeting.
    • Keep track of time remaining till the end of the workshop so you will know what items remain pending and what time is available for discussion.
    • Be sure that every issue mentioned in your agenda is discussed and an appropriate decision is proposed and approved.
    • Communicate with participants to know their viewpoint regarding agenda topics and get their valued feedback.
    • Consider using brainstorming as an extra way to solve issues that appear to be unsolvable within the course defined by your agenda.
    • Keep a log of all project-related decisions approved and ready for implementation.
    • Develop a list of actions to be taken after the meeting is done to support approved decisions.
