Task Order Checklist A task order is a formal document containing a detailed description of specific services or jobs a contractor needs to perform under certain requirements. In this Task Order Checklist you can learn key steps for designing your task order.

1. Define Scope of Work.

  • Identify the purpose or objective of jobs or services to be performed by your contactor.
  • Write a formal requirements document specifying minimum requirements to be met by your contractor.
  • Define boundaries of work (jobs or services).
  • Specify expected work performance levels.

2. List Tasks.

  • Create a list of tasks that should be performed to accomplish the objective of your work.
  • Try to focus on "what" and "how" the contactor should do.
  • Place similar or interrelated tasks in the same groups.
  • Categorize all tasks by major tasks and sub-tasks.
  • Organize tasks into a logical sequence.
  • Make sure successful completion of tasks meets the minimum requirements defined by your scope of work.
  • In case there are some unnecessary tasks, remove them from your list of tasks.

3. Identify Inputs.

  • Determine an amount and type of resources (e.g.: material, equipments, labor) required for completing each task.
  • Identify any restrictions of using required resources.
  • Develop a budget required for your contractor to do work.

4. Identify Output.

  • Determine deliverables or results to be produced by every task.
  • Outline an oversight plan for tracking deliverables.
  • Identify timelines for deliverables.

5. Set Performance Standards

  • Make a list of performance criteria based on:
    • Quality
    • Quantity
    • Time
    • Appearance
    • Determine progress milestones (dates when you will review work progress and compare it against the criteria).
    • Choose a method of inspecting work performance (e.g.: random sampling, periodic audit, using reports of contractors, 100% inspection).
